Online booking software for aesthetic clinics

Online booking, with your clinic in control.

Control who can book what, and choose the names patients see. Give new and returning patients a booking experience shaped around their relationship with your clinic, on the web or in your branded patient app.

Your booking rules

Not every treatment is for every patient to book.

You understand the relationship behind the appointment. Choose which treatment options are available to everyone, new patients, existing patients, patients who have had that treatment before, or patients who have it on their plan.

Your clinic chooses which rules apply to each treatment option.
  • A considered first step

Make an initial consultation available to new patients while keeping selected treatment options for an existing patient relationship.

  • History and plans matter

Use recorded treatment history or an item on the patient’s plan to determine which options appear.

  • Your rules, per option

Choose one or more audiences for each treatment option. An option appears when the patient matches any of its selected audiences.

Patient-facing treatment names

The language they see. The catalogue your team knows.

Set public names and descriptions for treatments and their options. Combine those names with audience rules to offer a clear first consultation, a returning-patient review or a treatment already on the patient’s plan.

  • Names made for patients

Set the name shown online independently from the name used by your team. If no public name is set, the internal name is used.

  • Different options for different relationships

Give each option its own public name and booking audience. Your clinic chooses the wording and who can see it.

From choice to appointment time

A booking flow that knows your clinic.

Patients choose from the treatments, locations and times your clinic makes available. Behind each time slot, DappleOS checks practitioner schedules, treatment durations and the rooms or equipment the appointment needs.

From the next treatment to an available time.

The patient selects an available appointment in your branded booking flow.

A woman checks a desk calendar and uses the trackpad on her laptop. The screen faces her.

A booking that fits around their day.

Patients can start from your web link, wherever they choose to book.

  • A useful place to start

Share your booking link or create a link scoped to a location, practitioner or selected treatments. A treatment plan can pass the next treatments and suggested month into booking.

  • Practitioner choice, your way

Let patients select a practitioner, request a preference or continue without a practitioner choice, according to your booking configuration.

  • Availability checked again

Available times are checked again when the patient submits, before the booking is created.

  • An earlier time if one opens up

Enable the waiting-list option so patients can ask for an earlier appointment while booking. Configured automatic offers give them a link to review and respond to an eligible opening.

Details, deposits and the next step

Make the commitment clear.

Keep the appointment details in view as patients complete your booking flow. Apply your configured deposit requirements, then show the booked appointment when the booking succeeds.

  • Recognise returning patients

The sign-in flow can match an existing patient and verify their mobile number without losing the booking selections they have made.

  • Deposits that follow your setup

Patients see the required amount and that it is credited towards treatment. Where deposit rules are enabled, your clinic can set ordered conditions and a default for each currency. The first matching rule determines the deposit. If no deposit is required, booking continues without payment.

  • Prepare for the visit

Your configured flow can include patient forms. Appointment details and outstanding forms remain available in the patient app after booking.

When plans change

Let patients take care of the next step.

Give patients their appointment details and the option to reschedule or cancel where your clinic allows it. Changes stay connected to the same appointment record used by your team.

  • Changes within your rules

Self-service changes follow the clinic’s cancellation window, appointment status and available resources.

  • The new details stay visible

Patients choose from available alternatives and review the updated appointment in their app or web portal.

Your full patient app, in a browser

No download needed to stay connected.

Online booking is one part of your clinic-branded patient app. The full patient app is also available on the web, with your configured pages, logo, colours and typography. Patients can return from a phone, tablet or computer.

Your clinic’s patient app in a web browser. Available pages follow your clinic’s configuration.
  • One familiar place

Keep appointments, treatment plans, forms, messages and enabled purchases together in the patient’s web experience.

  • From the plan to the booking

Patients can revisit the plan you agreed and start a booking from its treatment items, with availability checked in the booking flow.

“A strong consultation can still lose momentum when the treatment plan, booking and follow-up live in different places. We built DappleOS so the patient and the team can see the agreed next step.”

Connected to your team

Their booking is already part of your clinic.

Keep the online booking connected to the patient and appointment record. Your team can see what is booked, while appointment reporting separates online bookings from direct bookings.

A booking your team can work with.

Patient and appointment details stay together in the clinic record.

A receptionist works at a desktop computer behind the clinic reception desk.

Ready for the person behind the appointment.

Your team can prepare with the booking context already in place.

  • Context for the conversation

Bring the appointment, patient information and required forms together so the team can prepare for the visit.

  • Visibility into online booking

Review online booking activity in appointment reporting, alongside the period and location you are reviewing.

Abandoned-booking recovery

Help an unfinished booking find its next step.

When recovery is enabled, follow up eligible unfinished online bookings through a configured journey. Bring patients back to their saved selections, with the booking context available to your team if a conversation is needed.

  • A considered follow-up

Your clinic chooses the delay and runs the recovery journey. Patient messages follow consent and contact checks; leaving a booking does not subscribe someone to general marketing.

  • Resume, then check the time

The resume link restores booking selections for seven days. It does not hold an appointment. Current availability is checked again before the patient completes their booking.

  • Context for your team

A configured journey can create a follow-up task. Your team can see the treatment, location, time selected and where the patient stopped, alongside whether they opened the link or finished online.

  • Measure what happened next

The Abandoned Bookings report separates messages actually sent, resume links opened and bookings made after follow-up. It also identifies bookings made in another session before or without a follow-up. A sent message is not a recovered booking or proof of additional revenue.

Trust and compliance

Your clinic sets the boundaries.

Keep patient-facing language, booking access and appointment changes under your clinic’s control. These settings support your processes while clinical judgement stays with your practitioners.

Feature availability depends on your plan, enabled features and access permissions.

  • Encrypted storage

FAQs

Can we control who can book each treatment?

Yes. Each treatment option can be available to everyone, new patients, existing patients, patients who have had that option before or patients who have it on their plan. You can select more than one audience; matching any selected audience makes the option available. Existing-patient status uses recorded appointment history and is not a clinical suitability assessment.

Can patients see different names from our internal treatment names?

Yes. Treatments and options have configurable public names and descriptions. Your clinic can give differently named options different booking audiences. The public name is set for the option, rather than automatically changing for each patient. If a public name is left blank, the internal name is used.

Does the patient need to download an app to book?

No. Patients can book through your clinic’s branded web experience on a phone, tablet or computer. The full patient app is also available on the web, with your configured appointments, plans, forms, messages and purchasing features. Device-specific features, such as native push notifications, remain part of the installed app.

Can patients book from a treatment plan or a specific link?

Yes. A treatment plan can start booking with its selected treatment items and suggested month. Your clinic can also create links scoped to a location, practitioner or selected treatments. Patients continue through the configured flow and choose an available appointment time.

How do availability and practitioner choices work?

DappleOS checks practitioner schedules, treatment durations and required resources when finding appointment times. Your configuration determines whether patients select a practitioner, request a preference or book without that choice. A request is a preference, not a guarantee. Availability is checked again when the booking is submitted.

Can we take deposits that follow our booking rules?

Yes. Online booking can collect the deposit required by your clinic’s configuration. Where deposit rules are enabled, you can set ordered conditions and a default for each currency. The first matching active rule determines the amount, rather than adding rules together. Patients see that it is credited towards treatment. If no deposit is required, booking continues without payment. Completing payment and successfully creating the appointment are separate stages.

Can we follow up patients who leave before finishing a booking?

Yes, where abandoned-booking recovery is enabled and your configured journey is running. Eligible patients can receive a consent-checked follow-up with a seven-day link to resume their selections. Availability is checked again; the original time is not reserved. Your journey can also create a staff follow-up task. The Abandoned Bookings report distinguishes follow-up messages, link opens and subsequent bookings. Capturing booking details does not automatically subscribe someone to general marketing.

Can patients reschedule or cancel online?

Yes, where your clinic’s settings and the appointment status allow it. Self-service changes check the cancellation window and available resources. Patients can review the updated appointment afterwards. Cancelling an appointment does not by itself promise an automatic deposit refund.
