A clinic-branded patient app and portal

Your clinic. In their hands.

Give patients a familiar place to prepare for a visit, follow their treatment plan and stay connected. Your logo, your colours and your clinic’s experience, carried into their everyday lives.

Your clinic’s identity

Your brand belongs here, too.

Your patients know your clinic. Keep that recognition with your logo, colours, typography and configured pages. The full patient app is also available on the web, so patients can book and stay connected from a browser without downloading an app.

  • A familiar welcome.Your identity stays present from the home screen to the plan and the next appointment.
  • A home for the right things.Configure patient-facing pages and navigation around the services and information your clinic offers.
A familiar welcome, wherever they open it.
The clinic they know.

Ava Aesthetics’ wordmark and plum palette carry through the patient experience.

A clear path through the visit forms.

Start with what is due, complete the patient form and return to the appointment.

Forms before and after the visit

The next visit starts before they arrive.

Let patients see their appointment and complete the forms needed for that visit. The date, location and outstanding forms stay connected, with completion made clear when they finish. When your clinic includes Forms in its app, patients can also return to their completed forms.

  • The details in one place.Keep the appointment time, location, practitioner and relevant deposit status in view.
  • A clear next action.Show Start forms when patient-completable forms are due, then return to the app when they are finished.
  • A copy to return to.Patients can revisit completed forms in the configured Forms page. When your team shares an available signed PDF, its secure link lets the patient view or save a copy. Automatic sharing is a separate clinic setting.

The patient’s preparation stays connected to the visit your team will see.

From the consultation to the next booking

The plan goes home with them.

Give patients the treatment plan you built together. They can look ahead by month or list, open treatment information and practitioner notes, and start a booking from the relevant plan items.

  • More than a treatment name.Make treatment information, frequency and the practitioner’s notes available beside the plan item.
  • A useful place to start booking.Pass the selected treatments and suggested month into booking, where the patient chooses from available options.
The detail behind the plan.

Treatment information and the practitioner’s note stay one tap away.

A starting point for the next appointment.

Bring the plan into booking, then choose from the available locations and times.

Everyday skincare

The routine. The products. The next refill.

Keep AM and PM routines close at hand, with the products and notes from the patient’s plan. Show purchased, sampled and running-low states, and let patients add products to their cart from the routine.

  • Advice stays with the product.Keep the practitioner’s product notes beside the routine, ready to revisit at home.
  • A shorter route to the cart.Add a product, adjust the quantity and continue to checkout. Cart activity stays separate from purchase status.
The routine you discussed, ready to revisit at home.
From the routine to the cart.

Add a product without losing sight of the patient’s existing product status.

My packages

A clear view of the sessions still to come.

With My packages enabled, patients sign in to see their own packages, remaining sessions and use-by dates. Eligible treatments offer a Book action, bringing the next step closer without turning a package purchase into an appointment.

  • What remains, in view.Keep current packages and remaining inclusions separate from past packages that are used up or expired.
  • The right booking path.Book eligible treatments online or arrange other inclusions with the clinic. Availability and your clinic’s booking rules still apply.
Connected, with clear balances.

An example membership, separate rewards balance and gift-card entry.

Part of the wider relationship

Keep the extras easy to find.

Give patients access to membership details and a clear rewards balance. Where rewards expiry is enabled, show the next expiry date and points affected. Keep membership status and rewards distinct, with a patient-facing entry to gift-card purchasing.

Memberships

Name, status, amount and schedule in view.

Rewards

Points, value and enabled expiry information.

Gift cards

A patient-facing place to begin a gift purchase.

A connected conversation

A question comes up. Your clinic is close by.

Patients can return to their message thread with your clinic, keeping the conversation in the same experience as their plan and appointments.

  • One patient thread.Bring patient messages into the clinic’s inbox, with messages marked as read when the thread is viewed.
  • Share the supporting detail.Where patient attachments are enabled, patients can add photos or PDFs to their app message. An authorised team member reviews the file and can deliberately save a copy to Documents; receiving it does not complete a clinical review.
  • A discreet notification. The installed app supports a brand-titled new-message push, without putting treatment details in the notification text.
  • Requests with a clear next step.Configured portal forms can collect a patient’s service request and supporting information. Authorised team members review it in the clinic’s request queue, take ownership and ask for more information or record the next status. Submitting a request does not confirm a booking or clinical approval.
The conversation can continue after the visit.
Their question reaches your patient thread.

The conversation continues in the clinic inbox. Your team decides the response.

A view for your clinic

See who has made the connection.

The Customers report includes a Patient app measure for people who have opened the installed app. Use that view to inform your team’s introduction to the app at the next visit.

A defined measure, with a clear meaning.

Patient app counts customers who have opened the installed app, rather than downloads or monthly active users.

Trust and control

A familiar experience. Deliberate controls.

Your clinic shapes what patients see, while booking, forms and payment states keep their own meaning.

Feature availability depends on your plan, enabled features and access permissions.

Your patient-facing choices
Configure the app’s pages, navigation and visible content for your clinic’s experience.
Deliberate plan visibility
The plan controls whether patients see prices, while practitioner notes and treatment information remain attached to their plan items.
Booking rules still apply
Starting from a treatment plan carries context into booking. Availability, treatment options and the clinic’s appointment policies still govern the booking.
Clear completion states
Completed forms, purchased products and paid deposits have their own states. Opening a form or adding to a cart does not imply completion or payment.

A little more detail

FAQs

Can the patient app look like our clinic?

Yes. Your clinic’s logo, colours, typography and configured pages carry through the patient experience. Patients can use the clinic-branded app in a web browser on a phone, tablet or computer without downloading it. Native push notifications remain part of the installed app.

What can patients see in their treatment plan?

Patients can view treatments by month or list, open treatment information and see practitioner notes and frequency. Products have their own tab with AM and PM routines. The plan also controls whether prices are shown.

Can patients book from the plan?

Yes. The plan can pass selected treatments and a suggested month into the booking flow. Patients then choose from the available treatment, location and appointment options. Starting a booking does not reserve or confirm an appointment.

Can patients complete forms and revisit them later?

Yes. Patients can complete the forms needed for a visit and revisit completed forms when your clinic includes the Forms page. Where a signed PDF is available, your team can share a secure link so the patient can view or save it; automatic sharing is a separate clinic setting. Completing a form is distinct from the practitioner’s clinical review.

Can patients buy the skincare in their routine?

Yes. Patients can add products from their plan to the cart and adjust quantities before checkout. The plan keeps purchased, sampled and running-low states visible. Adding a product to the cart does not mark it as purchased.

How can patients contact the team between visits?

Patients can use the clinic’s connected message thread and, where enabled, attach photos or PDFs for staff to review. Authorised staff can deliberately save an attachment to Documents; sending a file does not complete a clinical review. Configured service requests remain separate from booking confirmation, and native new-message notifications depend on device permissions.

Can patients see their packages, memberships and rewards?

With My packages enabled, signed-in patients can see their own packages, remaining sessions and use-by dates, with booking offered for eligible treatments. Membership details and rewards have separate views; enabled rewards expiry shows the next date and points affected. These services keep their own balances and availability rules.

Can we report on patient app adoption?

The Customers report includes a Patient app measure for customers who have opened the installed native app. It is not a download count, a monthly active-user measure or a measure of web-portal use.
