## At a glance

- **Different people. Different offers.** Choose eligible customers, segments or tags for each promotion.
- **Clear rules for your team.** Set dates, eligible items and usage limits, then check the offer in the invoice.
- **A code for the person in the journey.** Create a single-use promotion code from an automation and include it in a later message.
- **See which codes were used.** Review recorded redemptions by date and customer location.

## More clinics. More customers. One place for your promotions.

As your clinic grows, a shared code is rarely the whole story. Different customers need different offers, and your team needs to know which ones apply. Promotion Management brings the offer, its audience and its usage rules together in one centrally managed library.

## Make the offer fit the customer.

Create separate promotions for different customer groups. Choose named customers, segments or tags so your team can offer a skincare introduction to one audience and a returning-customer offer to another.

- **Choose who can use it:** A customer can qualify through any of the selected customers, segments or tags. Explicit exclusions take priority.
- **Keep the audience connected:** Use your clinic’s segments and tags rather than maintaining a separate eligibility spreadsheet. Segment membership updates on a scheduled refresh.
- **Check it where the team applies it:** Customer eligibility is checked in the enabled invoice workflow. It does not extend to every public checkout channel.

## Set the boundaries. Give staff a clear choice.

Choose a fixed amount or percentage, set start and expiry dates, and limit total uses and uses per customer. Define the items the promotion applies to, then let staff review eligible codes and their savings in the invoice before applying one.

- **Keep active offers easy to find:** Review codes, dates, status and recorded uses in the management list. Show inactive offers when you need the wider history.
- **Show why an offer does not apply:** The invoice picker separates available codes from unavailable ones, with reasons to help the team understand the result.

## Create an individual offer as part of the journey.

Add Create Promotion Code to an automation to generate a single-use code for the customer in that journey. Set the discount, code prefix and expiry. Different journeys can create different offers for their audiences.

- **A code for that customer:** The generated code is assigned to the recipient, with one total use and one use per customer.
- **Send it in a later step:** Use the generated code in a subsequent message. Creating the code and sending it are separate actions. The message step still needs the relevant channel preferences and an appropriate communication purpose.
- **Choose the expiry:** Use a fixed expiry date or a number of days from creation to keep the offer within its intended window.

## Follow the code through to use.

The Promotion Codes report brings recorded uses together with the customer, code, promotion name, date and invoice reference. Filter by date and customer location to review activity across your clinic group.

- **A shared view as you grow:** See which codes appear in recorded redemptions and where those customers are based. Compare activity across dates and customer locations in the same report.

## Your offers. Your rules.

Promotion Management helps your team apply configured offers consistently. Your clinic decides the audience, terms and communication for each promotion.

- **Deliberate application:** Staff choose a code in the enabled invoice workflow. Eligibility and limits are checked again when the invoice is processed.
- **Defined access:** Authorised team members manage promotions centrally. Availability depends on your clinic’s enabled features and permissions.
- **Clear channel boundaries:** Customer, segment and tag eligibility described here applies to invoices. Review other checkout channels separately with our team.

## FAQs

### Is Promotion Management the feature previously called Coupon Codes?

Yes. Promotion Management is the current name for the management area previously called Coupon Codes. It brings promotion codes, discount settings, dates and usage rules together, with customer eligibility in the enabled invoice workflow.

### Can different customers receive different offers?

Yes. Create separate promotions and choose named customers, segments or tags for each. A customer can qualify through any selected rule, while an explicit exclusion takes priority. Without eligibility rules, anyone with the code may qualify subject to its other conditions. Segment membership refreshes periodically, and these eligibility checks apply to the enabled invoice workflow.

### How does this support a growing clinic group?

Your authorised team can manage a central promotion library with clear dates, eligible items and usage limits. Staff can review available codes when preparing invoices. The Promotion Codes report supports date and customer-location filters to review recorded uses across the group. This does not mean each location has an independent promotion configuration.

### Can an automation create a promotion code?

Yes. Add the Create Promotion Code action to generate a code for the customer in the journey. Configure its name, prefix, fixed or percentage discount and expiry. The code is assigned to that customer with one total use and one use per customer. Different journeys can be configured with different offers.

### Does creating a code automatically send it?

No. Code creation and communication are separate automation steps. Include the generated code in a subsequent message using the couponCode merge field. Your configured workflow determines when that message is sent.

### Can we control expiry and how often a promotion is used?

Yes. Manually managed promotions support start and expiry dates, active status, total available uses and a per-customer use limit. Automation-created codes are single use and can have a fixed expiry date or a relative expiry measured in days. Invoice processing checks the configured conditions again before redemption.

### Will customer-specific eligibility work in every checkout?

No. The customer, segment and tag eligibility described on this page is enforced in the enabled invoice workflow. Do not assume the same checks apply to public booking, ecommerce or other checkout channels. Book a demo to review your configuration, promotion workflow and reporting with the DappleOS team.
